Guests and guest links
A guest is everyone outside the office: a client, a counterparty, an expert. Guests are free and unlimited; you do not pay per invitee. They never see more than the folders of the group they were invited for.
How a guest signs in
Section titled “How a guest signs in”- The guest opens the link from the invitation e-mail.
- He chooses Send me a code and enters the six digits from the e-mail.
- If secure viewing is on, a second code follows by SMS.
- After that he sees his dataroom: only the folders of his group.
The e-mail code proves that the guest belongs to the address given. That is why a forwarded link does not work: the code always arrives with the original recipient.
What a guest sees
Section titled “What a guest sees”- The folders his group has a right to, with the same numbers as in your index.
- The documents in the viewer, with watermark.
- His own uploads and their status (Waiting for approval until the office approves them).
- Messages and requests, if the dataroom has them.
- No office administration, no general search across other datarooms and no permissions matrix.
What a guest cannot do
Section titled “What a guest cannot do”| Action | Why not |
|---|---|
| Browse through folders that are not of his group | They do not exist in his view |
| Forward a download link | The link is personal and expires |
| Make an upload visible immediately | Uploads from guests wait for approval |
| See the permissions of others | The participant list shows only what he may see |
Limiting in time
Section titled “Limiting in time”When inviting you can fill in Access until. On that date the access ends automatically. You can change that later via Participants or Expiry of access.
Withdrawing
Section titled “Withdrawing”Withdraw access in the participant list ends the access immediately. The guest arrives at the sign-in screen on his next click and cannot get in again with the same link.
Returning guests
Section titled “Returning guests”If you invite the same party more often, use the same group. The guest recognises the dataroom in his overview and you do not have to set up the permissions again.
